Assign each check to the right person

Keep two preparation lists. Travellers check the documents and entry arrangements applicable to them; the operator checks the vehicle, meeting point and transport route. A group organiser can record whether everyone has completed their checks. One person’s previous successful crossing does not establish the requirements for the rest of the group.

Direct questions to the destination’s immigration authority, the relevant visa authority or another appropriate official service, giving your travel date and direction. Revisit the checks after adding a destination, arranging a return leg or replacing a document. Check the document and the applicable permission

First check the travel document you hold. Then review the visa, endorsement or other permission that applies to this journey. For ordinary Mainland residents visiting Hong Kong, the Immigration Department specifies a valid Exit-Entry Permit with the relevant endorsement, subject to normal immigration requirements. Looking only at the expiry date on a card leaves part of that check unfinished.

Review personal details, travel dates, purpose and any conditions attached to the permission. Use official guidance for anything unclear. Different residence statuses or passport categories can lead to different requirements. Review each outbound, return or onward leg individually; permission relevant to one part does not resolve every other crossing.

Give every child a separate check

List the applicable documents for each child and decide who will carry them. A parent’s own paperwork or travel history does not replace checking the child’s position. The Immigration Department has specific guidance concerning children; read the part that matches the child’s age, status and actual documents.

Ask the appropriate authority about any uncertain accompaniment requirement and allow time to obtain what is needed. For the vehicle booking, record the number of children, requested seats and help needed during passenger clearance. Before leaving, have a designated adult check each document so none remains at the hotel or inside inaccessible luggage.

Keep documents accessible and sharing limited

Begin a fare enquiry with the date, route, passenger count, luggage and assistance needs. If it affects transport planning, describe the document category. Avoid volunteering complete document images to a group chat. When specific personal data is requested, establish the purpose, necessary fields and handling method before selecting an appropriate channel.

Carry the valid documents you need to present where you or the responsible carer can reach them. A phone backup should not be assumed to replace the original in every situation. Count the documents again after inspection, then return to the agreed meeting point. Resolve uncertainty about official document requirements before travelling.
