Verify the full departure date, especially for a flight just after midnight, and confirm the terminal and any document checks that apply to you. Choose between a direct exit and a hotel-retrieval departure
A direct exit works only when everybody and everything needed for the flight can leave from the agreed Pazhou meeting point. Establish when the last attendee can finish, how they will reach that point and who will check that the group is complete. An appointment that finishes at pickup time still leaves the passenger inside the venue. The journey to the car belongs in the plan.
A hotel-retrieval departure adds more than driving to another pin. The group must reach the correct hotel entrance, recover stored belongings, check nothing has been left behind and load again. Ask the hotel about storage access and collection arrangements in advance. Neither storage nor collection by the driver should be assumed, and a hotel stop must appear in the requested transport scope.
Consider an illustrative team with two passengers ready outside the venue, another still in a meeting and a fourth whose suitcase is at a different hotel. A single pickup time does not resolve those dependencies. The team can discuss ending the meeting earlier, consolidating belongings where permitted or arranging separate departures. These are options to assess, not promises that extra vehicles or luggage services will be available.
Count the return load after samples have been collected. If it differs from the load originally discussed, provide an updated list or photograph before the car arrives. Passenger-vehicle capacity does not determine whether an airline or border authority will accept a particular sample. Keep passports and essential medication accessible, and resolve specialist baggage or goods questions with the responsible provider.
Trace the Canton Fair to Hong Kong Airport journey without gaps
Read the plan backwards from target terminal arrival: the Hong Kong road segment, the selected border crossing, the mainland road segment, any hotel collection and the venue meeting process must all fit before it. Ask the transport coordinator to assess the actual addresses and date. Then decide how much of the final exhibition day remains usable. A map estimate for one road segment cannot stand in for this complete chain.
Checkpoint opening hours are a separate test from the expected journey duration. The Hong Kong Immigration Department's control-point list, checked on 30 September 2026, gives Shenzhen Bay's normal passenger and private-car hours as 06:30 to midnight; its round-the-clock cargo service does not extend those passenger hours. Lok Ma Chau road control point, connecting with Huanggang, operates around the clock. Lok Ma Chau Spur Line is a different crossing.
Test the expected arrival at the crossing, not only the departure time from Guangzhou. The operator must confirm which crossing the actual vehicle can use and whether any revised route is available. Passengers follow inspection instructions, including instructions to leave the vehicle or present belongings where required. An open checkpoint is not a clearance-time guarantee or immigration permission.
Finally, verify the terminal with the airline and tell the coordinator where the road journey must end. Check each traveller's eligibility for the border crossing and onward destination separately. Decide what can change before the margin disappears
Use the last meeting as a decision point, not a reason to postpone every transport decision. If the remaining plan is becoming too tight, identify what can still move: an optional conversation, a nonessential stop or the flight itself. Required baggage collection and official procedures cannot simply be deleted from a time calculation. Contact the relevant party while alternatives can still be checked.

A later estimated takeoff does not itself establish a later bag-drop deadline. Equally, a different crossing is not an automatic recovery route: vehicle access, operating conditions and the remaining road journey still need checking. Avoid depending on faster driving or an assumed priority inspection to recover time.
Where the conflict is visible before travel, consider a shorter final fair day or an earlier move towards the departure airport. A hotel night, ticket change or additional transfer is subject to availability and its own terms. This guide does not suggest that any fallback will be free or that the original connection can always be saved.
Give the coordinator a departure brief with one clear endpoint
Send the operating flight, full date, relevant airline requirements and target terminal arrival together. Add the Pazhou pickup location, the time the last traveller can leave the venue, every necessary hotel stop and the final passenger and luggage count. Flag separate flights or passengers who cannot follow the same schedule. The useful request is a complete departure plan, not simply a car from Guangzhou to Hong Kong.
Ask which stops and arrangements the quotation covers, how a changed meeting point or later finish would be handled and how the group should contact the coordinator on the day. Vehicle availability, waiting and route changes need explicit discussion. Keep the resulting itinerary accessible to everyone travelling, then update it when a material detail changes.
