A first-time applicant should preregister through the organiser, retain the confirmation and verify a suitable collection point. The badge is an admission document; an invitation, hotel booking or car reservation is not a substitute.

Start with the badge you have—or the application you need
The Canton Fair Hong Kong Representative Office notice for the 140th session states that overseas buyers need a buyer badge for entry and that a badge issued at a previous session can be used for later sessions. If yours is still available, check its status before submitting a duplicate application. If it is lost or your identity details have changed, ask the organiser how to proceed. A first-time visitor should follow the official buyer service route for preregistration and keep the resulting confirmation.
Starting from Hong Kong does not make every passenger eligible under the same category. The current Hong Kong notice lists foreign passports, Mainland Travel Permits for Hong Kong and Macao Residents, Mainland Travel Permits for Taiwan Residents and certain other documented overseas circumstances. Each traveller should check the official criteria against their own document, not copy a colleague’s answer. A buyer badge and permission to enter mainland China are separate decisions.

Keep registration, identity and collection information together
For a first application, note the name used for registration, applicable original identity document, confirmation receipt and intended collection place. The current Hong Kong office notice asks the applicant personally to bring an eligible original identity document, electronic or paper preregistration receipt and a company business card. Follow any additional instructions shown in your own official account or approval response. A photograph of an ID on a phone should not be assumed to replace the original.

Badge issuing is an organiser function, not something this transport website performs or controls. Use the organiser’s official links to register. Do not send a full passport image merely to obtain a car quote from us: date, actual addresses, passenger count and luggage are enough for an initial transport enquiry. Choose a collection point that fits the route you will actually take
The 140th-session overseas buyer information describes remote collection options for eligible first-time overseas buyers after preregistration, including Guangzhou Baiyun International Airport, Guangzhou South Railway Station, Pazhou Hong Kong–Macao Passenger Port, designated hotels and the Hong Kong office. These are categories of locations, not a promise that each desk is open when you arrive or handles every identity type. Recheck exact location, operating time, required documents and your application status using the current office notice and buyer system.
Collecting in Hong Kong before travel can simplify the first fair morning if the official process is completed. If you collect after arriving in Guangzhou, keep room in the schedule for the desk and the onward journey. Do not place a critical supplier appointment immediately after an estimated station arrival. Record the collection address separately from the exhibition complex address so your group or driver is not sent to the wrong place.
Two colleagues in one car can have different badge journeys
Illustrative scenario: one colleague holds a badge from an earlier fair; the other is attending for the first time. They can travel in the same vehicle from Hong Kong, but that does not mean both can go straight to the same first stand. The new buyer should finish official preregistration, confirm the receipt and select a suitable collection point. Each person must also check the documents that apply to their own mainland entry. Only then can the group decide whether the itinerary needs a collection stop, a hotel stop, or two separate onward movements.
Do not use an assumed number of minutes for the new buyer’s identity check or badge collection as the basis for an accepted supplier appointment. If the organiser has not confirmed a collection time or the buyer’s application is pending, mark that part of the travel plan as conditional. Tell the carrier which address is confirmed and which stop may change, and seek a revised written scope if it does. A company card and preregistration receipt are not substitutes for a valid original identity document. Conversely, a car company does not need a passenger’s complete passport photo just to price a journey. Keeping the badge and vehicle data flows separate protects both the schedule and personal information. A final pre-departure check should name the person responsible for each official application and for notifying the group when its status changes.
