On your final Canton Fair day, settle the luggage plan before booking the last pickup. If the hotel confirms storage, include a return to collect your bags. If you want to take them to the fair, verify the current admission and storage arrangements first. Only then choose the onward route to Guangzhou Airport, a Hong Kong address or an eligible Hong Kong Airport connection.

Start with three places: your room, your last meeting and your departure point

The useful question on checkout day is not simply how to get away from Pazhou. It is how you and everything you are taking home will reach the next departure point. An international buyer may finish meetings before a colleague, carry a new sample that was not in the original baggage list, or have a suitcase still held at a hotel across the city. Those details can change the pickup location before they change the transport mode.

Write down the hotel address, the final meeting location and the booked departure point. Use the actual hotel name in Chinese as well as English, its entrance and a map pin; a translated brand name alone may not identify the correct property. For the fair, include the exhibition area or agreed meeting place. For the next journey, distinguish an airport flight from a train, a Hong Kong hotel or an airside transfer.

The 140th Canton Fair official information and official dates page give three autumn 2026 phases: 15–19 October, 23–27 October and 31 October–4 November. Your own last attendance day can be earlier. The gaps between phases are not ordinary exhibition days, so a hotel booking covering the whole period does not establish that a supplier will be at the fair on every date.

For a mixed group, make one line per traveller: next destination, bag ownership and who can collect it. A shared morning pickup does not mean everyone should share the final departure. Keep the written plan short enough that a colleague can follow it without access to your full flight account or personal documents.

Choose where the bags stay while you finish the fair

A booked car is also a separate arrangement from a luggage custodian. If you want bags held in a vehicle while you attend meetings, transported without you or collected by someone else, ask whether that service is available and how responsibility and charges work. Until confirmed, plan to keep control of the items and collect them yourself. Choose a separate day bag for the documents and essentials you need during meetings.

Make the hotel collection stop visible in the itinerary

A workable planning example is: check out and leave accepted bags with the hotel, attend the final meeting, return to collect everything, then begin the onward transfer. It keeps you free of the main suitcase during meetings, but it includes a return journey. Compare that complete sequence with taking luggage with you; do not compare only the fair-to-airport leg of one option with the entire day of another.

Use the hotel's actual position and your last meeting area to judge the detour. A hotel described as convenient for the fair may still be inconvenient for the next destination. If a supplier moves a meeting, update the collection route before confirming a driver meeting point. Asking to move the final meeting closer to the hotel is one option, subject to the supplier's agreement; it is not a service that a transport booking can provide.

Sending one colleague to collect everyone's bags can reduce group backtracking only if the hotel accepts the release arrangement and that colleague can manage the items. Agree where the group will reunite and how you will communicate if mobile data fails. When people are leaving for different destinations, separate their items before either group departs. Do not mark everyone ready while a bag owner is still waiting for an item to be released.

New samples need a deliberate decision as well. Identify which items are travelling with you and which are being sent by a separately arranged service. Keep the supplier's handover confirmation and the receiving details for anything sent later. The point is to prevent an unassigned bag or carton from becoming an unexpected stop at the moment you are ready to leave.

Then separate Guangzhou Airport, Hong Kong city and HKIA routes

Flying from Guangzhou Baiyun International Airport: use the airport and flight shown on your booking, and verify the current terminal with your airline and the Baiyun Airport airline information. Do not reuse a terminal from a previous trip. If colleagues have separate flights, confirm their drop-off requirements individually. The availability and price of a local Guangzhou airport transfer must be confirmed for the actual addresses and stops.

Travelling to an address in Hong Kong: the end point is that address, not simply the border or West Kowloon Station. Once the bags are collected, compare an agreed road transfer with travel to Guangzhou South for rail and the onward Hong Kong connection. The MTR High Speed Rail baggage rules state that baggage consignment is not provided. Check the applicable item rules instead of assuming an airline suitcase allowance carries over to a train.

Connecting to a flight at Hong Kong International Airport: a landside road journey and a Pazhou–SkyPier transfer are different branches. HKIA's official ferry information includes Pazhou, but flight, airline, document and baggage eligibility must be confirmed. The airside transfer is not a general ferry into Hong Kong city. Passengers must remain in the airport's restricted area and cannot collect bags stored in its public area. If you need to retrieve property in Hong Kong first, resolve that requirement before choosing this branch.

This guide does not give a universal departure time. Its purpose is to choose a route that actually includes your luggage. Give the transfer provider a sequence of stops, not just “Canton Fair pickup”

A useful request says where the group meets, whether it must return to the hotel, where the bags are released and where each traveller finishes. If the car is expected to continue after the hotel stop, say so. Ask whether waiting, additional stops and parking are included or quoted separately. A price for one direction or a simple point-to-point journey should not be treated as the price for a different sequence.

The exhibition complex name is not a confirmed vehicle meeting point. Use the current official visitor guidance and the provider's agreed instructions to identify a lawful, reachable place. A private booking does not establish permission to enter a controlled area, wait outside a particular hall or use a particular hotel forecourt. Keep the final meeting location and the eventual vehicle pickup point distinct in your notes.

After the hotel releases the bags, count them with their owners and update the provider if the list has changed. For samples or unusual items, give a practical description and ask the relevant carrier about acceptance. The Hong Kong Civil Aviation Department's packing guidance directs passengers to their airline for baggage allowances and distinguishes security restrictions; extra room in a car does not establish that an item can be carried on a flight.
