Prepare addresses that work when you are away from hotel Wi-Fi
Start with a small travel note that every member of your buying team can open. Include the hotel’s full Chinese name, street address, actual entrance and contact details, followed by your intended exhibition area. Save the note offline as well as in your group conversation. A map pin is useful, but it should support a written address rather than become the only way to explain where you are going.
Ask the hotel to clarify the walking approach to the station you plan to use. “Near the metro” leaves several practical questions unanswered: which entrance, how much walking your group can manage, and whether everyone can carry their belongings along that route. Test your chosen way of viewing directions and contacting companions before departure; this guide does not assume that a particular mobile app, payment method or network connection will work for every visitor.
Check the current exhibition information through the official Canton Fair website, then identify the area required for your first appointment. Repeat that check when your meeting plan changes. Use metro access as a planning baseline, then check the whole journey
The Guangzhou government’s metro guide published on 15 April 2026 for the 139th Canton Fair identifies Line 8 access at Pazhou or Xingangdong and Line 11 access at Pazhou. Keep the Chinese station names alongside the English ones: Pazhou is 琶洲 and Xingangdong is 新港東. They are useful reference points for planning, not a promise that a particular exit is closest to your appointment.
That April guide also contains temporary spring-fair timetables and visitor services. Do not carry those arrangements into the 140th Fair without current confirmation. For your travel date, check the operating information, direction and interchange required from your hotel, then check the walk from the station to the relevant exhibition area. A rail journey and a complete door-to-meeting journey are different things.
Make the reverse journey usable too. Someone who leaves early should have the hotel address and return plan without needing the rest of the group to answer immediately. If stairs, walking or carrying items would be difficult, address that constraint before choosing on price alone. A car can still require a walk to an agreed meeting place, so ask about that part of the journey as well.
Choose the direction that needs a pickup
Split pickups mean choosing a vehicle for a particular journey instead of assuming the same arrangement must cover both directions. Perhaps everyone wants to leave the hotel together, but individual buyers will finish at different times. Build a daily plan around the buyers who actually return together
Consider this planning example: two buyers share a hotel but visit different product areas. On the first day, they both expect to return after completing their lists, so they check a metro plan together. On the second day, one expects an earlier finish and keeps a separate return route. On the third day, they may enquire about a shared return pickup once their final meeting plan and belongings are clear.
This is a decision method, not a customer story or a prediction of journey time. The useful detail is that the team reviews its return group every day. Even with the same hotel, a different exhibition area or passenger combination changes the meeting information. The website’s published vehicle and area starting fares do not provide a standard Guangzhou hotel–Canton Fair transfer price. Do not divide a Hong Kong–Guangzhou fare by distance, turn a package into an hourly rate or double an outward figure to invent a return quote. Those calculations would price a service different from the one listed.
