Canton Fair interpreter or buyer assistant: how does a companion enter the 140th fair?

An interpreter or procurement assistant should not arrive at the 140th Canton Fair gate assuming they can enter with a buyer. Guangzhou government information updated on 29 September 2026 says companion-badge applications opened on 28 September, are initiated by the overseas buyer and should be submitted at least two days before the planned visit. The organiser reviews them; assistant and interpreter are distinct categories.

The overseas buyer starts the badge application
The Guangzhou government notice updated 29 September 2026 says the buyer must initiate an accompanying-person application for the 140th Canton Fair and the organiser reviews it. A companion cannot simply file it as though they were the overseas buyer. A first-time buyer completes their own pre-registration and overseas buyer-badge application in the official Buyer Service System before applying for a companion. Returning buyers should verify their account, the desired phase and the named person's details.
Hiring a language professional and securing permission for that person to enter are separate decisions. Before paying anyone for a day inside the fair, ask which official category they can apply under and what documentation they can supply. Work experience or a supplier's assurance is not an organiser approval. If the application is still under review, keep the proposed in-hall meeting plan conditional rather than telling exhibitors the interpreter is confirmed.

Assistant and interpreter are different categories
The current-session government information classifies companions as assistants or interpreters. It reports a maximum of two applications per buyer per phase, no more than one in each category. That is an upper limit, not an automatic entitlement. The notice says interpreter applicants need supporting qualifications such as CATTI or NAETI certification, or a degree in a foreign-language subject from a mainland Chinese higher-education institution. Submit the relevant evidence and let the organiser judge it in the actual system. A genuine accompanying relationship is required; the badge is not transferable to a stand-in.

The 2026 lead time, charge and refund rule
According to that 140th-session report, applications opened on 28 September and should be filed at least two days before attendance. For an intended 15 October visit, the gate is not the place to start the application on the morning of the 15th. The published charge is RMB 300 per day plus an RMB 50 administrative fee; a badge is not refundable once scanned at an entry gate. These are organiser badge charges, not a quotation for interpreting, a driver, or a vehicle. Check the current fair system for the applicable steps, actual payment screen and status.

If your buyer itinerary spans two phases, review each phase separately. Having one person accepted for one phase does not justify assuming their record is valid for another. Likewise, an applicant with a previous irregular record may face an additional review according to the government notice. Keep proof of what you submitted and ask the fair directly when the status is unclear.
Specify the companion’s in-hall and outside-hall duties
An in-hall interpreter may join stand meetings, clarify product questions and help record responses. Outside the venue, the same party may coordinate a hotel meetup, dinner or supplier appointment. One person can have both kinds of work, but the organiser's access decision only concerns admission under its rules. A colleague with their own buyer credentials is also a different case from a buyer applying for an assistant. Put each traveller in the proper official category rather than borrowing another person's badge.
A useful daily roster has four columns: buyer, companion, official application status and stands where both must be present. Your road transport roster should additionally show hotel entrance, agreed outside meeting point and luggage. A driver taking you to the venue is not automatically an in-hall escort. If badge approval fails or a companion cannot attend, revise supplier meetings first and then update the pickup schedule; a charter car cannot solve a gate-access issue.
Arrange the transport around real passengers and meeting points

A seven-seat vehicle includes the driver, usually leaving at most six passenger places; baggage and seating still need checking for the assigned vehicle. Count buyers, assistants and interpreters as passengers. Teams splitting between halls or ending at different times may need separate cars or journeys. A one-way transfer should not be assumed to include all-day standby.
In the journey enquiry, provide the fair date, group size, hotel entrance, exhibition area, planned exit and later stops. You do not need to upload an assistant's identity card or interpreting certificate to us for a first transport quote; documents for admission belong in the organiser's official process. A car arrangement exists only after availability, route, waiting and price are confirmed in writing. We are not the fair's credential agent and cannot promise a badge decision or a pickup at a specific hall door.
