Canton Fair invitation, buyer badge and China visa: which does what?

For the 140th Canton Fair in autumn 2026, treat the invitation letter, overseas buyer badge and permission to enter mainland China as three different questions. The fair issues invitation and badge services; the badge is the relevant fair-entry credential. A visa or other entry entitlement depends on your personal travel document and the applicable Chinese authority. Completing one step does not approve the others.

Three checks, three authorities: make the distinction first
The fair's official buyer service page lists pre-registration, invitation application, buyer-badge arrangements and visitor guidance separately. That separation matters when a team member says they have “registered.” It does not tell you whether that person has a usable badge, a letter, a visa or any other required entry entitlement. For the 140th event, the organiser's session page places exhibition days on 15–19 and 23–27 October, and 31 October–4 November 2026. Paperwork needs to fit the actual phase you intend to attend.

Where does the invitation fit in the buyer process?
The organiser's invitation application guide shows a new-buyer path through account creation and badge application before the invitation step. Returning buyers may see a different path. That guide was published in 2025, so do not reuse its old session dates as deadlines for autumn 2026. Log in to the current Buyer Service System and inspect your own status, required fields and instructions. If a Chinese visa application requires an invitation, confirm the precise letter requirements with the official channel handling your application.
Receiving a PDF invitation does not mean a visa will be granted, nor does it by itself admit you to the halls. Avoid buying non-changeable flights, hotels or other services on the assumption that a letter settles immigration. First check the passport expiry, any visa conditions and your planned number of entries against official requirements. This article deliberately does not assert that any particular nationality qualifies for visa-free entry.
The buyer badge is the fair-access issue
The Canton Fair Hong Kong office's 140th-session reminder says overseas buyers need a buyer badge for the halls, notes that badges from prior sessions can be reused, and encourages pre-registration and remote collection. A new buyer should check the current return receipt, original identity document and business-card requirements through the official process. Airport, hotel and Hong Kong office counters may be available, but eligibility, exact location and opening hours are not universal promises; verify the arrangements that apply to you before travel.

Keep three different status labels in your own checklist: submitted, approved and physically collected or otherwise confirmed usable. A companion cannot enter on your badge. Do not infer mainland entry eligibility from someone else’s case
Two colleagues on the same exhibition trip may have different passports or residence status and therefore different entry requirements. List each person's nationality, travel document, current visa or permit, anticipated arrival point and onward destination. Then ask the Chinese consular, visa or immigration authority relevant to that person. The fair invitation may form one part of an application; it is not the government's approval. Where your status is unresolved, allow time for an official answer before committing to inflexible travel.
Check every team member independently, even if one coordinator makes the hotel and transport booking. A shared car itinerary does not imply shared immigration eligibility. Sensitive document images should go only to a verified recipient who genuinely needs them. A car provider should not request passport scans simply to price the first road transfer.
How to enquire about a car while paperwork is pending
Transport planning can begin while you wait for the official document outcomes, provided you separate enquiry from a confirmed booking. Once entry and badge arrangements are clear, request written confirmation of vehicle availability, crossing, waiting, changes and price.
