A buying team does not automatically need one shared vehicle. At the 140th Canton Fair, colleagues may stay in different hotels, visit different exhibition areas and finish supplier meetings at different times. First decide who truly needs to arrive together, who can travel independently and when the group must regroup. That short decision sheet is more useful than asking a driver to “pick us up at the fair.”

Form subgroups around appointments, not the company org chart
Imagine six colleagues staying in two hotels. Two have appointments in one exhibition area, three need to inspect samples in another area, and one still needs to collect a badge. Putting everyone in one vehicle can turn the first appointment into a waiting exercise. Make a simple list with three columns for each person: first fixed meeting, target hall or area, and hotel entrance. The people with the same immovable deadline become the first subgroup.
The organiser offers buyer and exhibitor search services, and the Canton Fair app supports itinerary planning. Use current-session information to check a supplier and stand rather than copying a hall number from an old fair. If one colleague has a light day bag and an easy metro journey, an independent ride may be more direct; save the vehicle question for clients with luggage, tight meetings or shared onward travel.
Badge collection is a separate task. A booked vehicle cannot confer entry rights, avoid an admission queue or guarantee a drop-off at an exhibition door. Ask the organiser about access, then confirm a lawful curbside arrangement with the transport provider.

When is one car sensible, and when should the team split?
Start with the last appointment that cannot move. A group leaving one hotel for one area and finishing together can ask for a simple one-way transfer. If two hotels are close enough to combine, quote both entrances as two distinct stops. If people leave distant halls at different times, holding the whole group to one car may create avoidable standby time. Compare a second vehicle, separate legs or public transport for the independent subgroup.

Where the team also has several supplier visits, a day-hire enquiry may fit better, but it is a different scope. Waiting, extra stops, a cross-city leg and a second car must be listed in the written quote. A label such as “six-seat vehicle” is not proof that six adults and six large cases fit comfortably; send the luggage dimensions first.

On departure day, count people before counting cars
Before anyone leaves the hall, the subgroup lead should check whether supplier conversations have finished, where every suitcase is and whether anyone is going to dinner, an airport or a different city. Replace a rigid “6 p.m. collection” assumption with a realistic meeting window that the provider has accepted. Official exhibition hours do not tell you how long it takes an individual to leave a booth, retrieve a case and reach an agreed outside point.
At the meeting point, count the travellers, then verify driver and vehicle details using the agreed contact. If one person is missing, follow the previously agreed wait-and-escalate rule instead of leaving a vehicle at a busy curb indefinitely. A subgroup travelling on to Hong Kong or elsewhere also needs its own complete drop-off address and appropriate travel documents. Do not carry the destination or border assumptions over from another subgroup’s itinerary.
