If you have only one to three days at the 140th Canton Fair, do not fill every minute with names from an exhibitor search. Confirm the supplier’s phase and stand, group booked conversations by exhibition area, and leave time to compare products and record unanswered questions. One day protects essential meetings; two days add comparison; three days allow deliberate return visits or a second category.

Make an A/B/C shortlist before opening the venue map
Start with a purchasing question rather than a list of every hall. Write your product specification, likely order range, packaging needs and documents you must inspect. Use the organiser’s buyer and exhibitor search to identify likely suppliers. Then label each prospect: A means the product is highly relevant and the supplier has confirmed a meeting; B means a comparable alternative whose stand details are known; C means no reply or uncertain stand information. Only A belongs in the fixed part of your calendar.
For autumn 2026, the 140th fair runs in three separate phases: 15–19 October, 23–27 October and 31 October–4 November. A supplier in another phase cannot be visited by cramming more meetings into the same day. Verify the phase, current stand and actual person attending before booking travel. If your list spans phases, decide whether to make two separate visits, continue online or change the sourcing scope.

One day: answer the core sourcing questions
A single day is viable when you have a narrow product target and a small number of must-see suppliers. Schedule the first confirmed meeting only after allowing for a usable badge and finding the correct hall. Keep comparable stands in the same area where possible. If a supplier is absent, use your B list; do not cross the entire venue merely to keep a calendar slot occupied. Passing a stand is not the same as evaluating a company.
Bring a repeatable question set: sample versus production specification, minimum order quantity, lead time, packaging options, test documentation and the named person who will answer later questions. You can record provisional answers at the stand, but formal contract, compliance, payment or factory-verification decisions require separate work. Before leaving, note whom you actually met and which sample or quotation belongs to which stand. Otherwise, a day can finish with many business cards and little usable evidence.
Two or three days: separate discovery, comparison and revisit
With two days, use the first for A meetings and nearby B alternatives; use the second to compare competing products, clarify missing specifications and return to the strongest candidates if they agree. With three days, the first can establish your category map, the second can deepen technical and commercial conversations, and the third can close open questions or explore a pre-checked adjacent category in the same phase. These are work allocations, not rigid hour-by-hour schedules: the density of stands, queues and conversations will change the day.

At the end of each day, put comparable suppliers on one comparison sheet: stand and contact, sample reference, quotation basis, missing evidence and the next action. Decide whether each requires a repeat hall visit, emailed materials or an appointment at a showroom or factory. Do not infer a factory visit from a business card. Make a second schedule for what happens after leaving the hall
The stand number is useful inside the complex; it is not an instruction to a driver. Your schedule needs both the final stand or area and an outside meeting place confirmed under the current traffic arrangements. If team members finish in different halls, agree who announces that the last meeting is over, who may leave early and whether separate vehicles are required. These decisions are easier before a quote than at the curb.
For a buyer already staying in Guangzhou and travelling light, check public transport first. If the trip starts in Hong Kong that morning or continues to a hotel, dinner or supplier address after the fair, price the road legs using the exhibition transfer service as a comparison. Supplier meeting times, hotel luggage storage and vehicle waiting are each controlled by different people; a road booking does not silently secure the others.
